Privacy Policy
NIMMI Pulse is an internal business application operated by Etna Hardware Private Limited (“we”, “us”, “the Company”) for our employees and authorised business associates. This policy explains what personal data the app handles, why, who it is shared with, and the rights you have as a Data Principal under India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”). The app is intended primarily for use in India.
1. Who we are (Data Fiduciary)
The Company is the Data Fiduciary responsible for personal data processed through NIMMI Pulse.

2. Personal data we process
Because NIMMI Pulse is a staff and sales tool, most data belongs to our own employees and to our business customers/dealers. We process:

| Voice input | When you tap the microphone, a short audio clip is captured and sent for speech-to-text conversion. Only the resulting text is stored with your ticket; the audio itself is not retained after transcription. |
| Business & ERP data | For authorised sales staff, the app displays customer/dealer records, orders, invoices, outstanding balances and related commercial information drawn from the Company’s Focus ERP. This can include names, dealer codes, addresses, GSTINs and transaction amounts of our business customers. |
| Technical & log data | IP address, device/browser type, timestamps and in-app actions, kept for security and audit. The installable app also caches the interface (not your data) on your device for offline launch. |
3. Why we process it (purposes)
- To authenticate users and keep the portal secure.
- To run the internal ticketing and communication workflow (raising, assigning, tracking and resolving tickets).
- To give authorised staff governed access to ERP reports and sales tools.
- To send service notifications — assignment alerts, SLA reminders and escalations — by WhatsApp, email or SMS.
- To convert your voice input to text when you use the microphone feature.
- To maintain audit logs, protect against misuse, and meet our legal and record-keeping obligations.
We process this data for the Company’s legitimate business purposes and, where required, on the basis of your consent (which you may withdraw — see Section 6).
4. Who we share it with
We do not sell your personal data and we do not use it for advertising. We share limited data only with service providers (Data Processors) that operate the app on our behalf under contract, and only as needed to deliver the service:

We may also disclose personal data where required to comply with applicable law, a court order, or a lawful request from a public authority.
5. Transfers outside India
Most processing takes place in India. Some features — notably speech-to-text transcription of voice input via OpenAI — involve transfer of data to servers outside India. We make such transfers only as permitted under the DPDP Act and other applicable law, and limited to what the feature requires. If you prefer not to transfer voice data abroad, simply type your input instead of using the microphone.
6. Your rights as a Data Principal
Under the DPDP Act, 2023 you have the right to:
- Access — obtain a summary of the personal data we process about you and how.
- Correction & erasure — have inaccurate or incomplete data corrected, updated or completed, and have data erased where it is no longer required.
- Grievance redressal — a readily available means to raise a grievance with us (see Section 10).
- Nominate — nominate another individual to exercise your rights in the event of your death or incapacity.
- Withdraw consent — where processing is based on your consent, withdraw it at any time (this will not affect processing already carried out).
To exercise any of these rights, contact our Grievance Officer (Section 10). If you are not satisfied with our response, you may lodge a complaint with the Data Protection Board of India.
7. Data retention
We keep personal data only for as long as it is needed for the purposes above and to meet our legal, tax and audit obligations, after which it is deleted or anonymised. Voice audio is discarded immediately after it has been converted to text.
8. How we protect your data
Access to the portal is restricted by phone-based login and role-based, default-deny permissions. Data is transmitted over encrypted HTTPS/TLS connections, and access to sensitive actions is logged for audit. While no system can be guaranteed fully secure, we take reasonable technical and organisational measures to safeguard your data.
9. Children
NIMMI Pulse is an internal business tool intended for use by adults (our staff and authorised associates). It is not directed at children, and we do not knowingly process the personal data of children under 18.

11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and significant changes will be notified within the portal. Please review this page periodically.
